As an Administrative Buyer, you will be at the heart of carrying out administrative tasks within P&P. You will ensure that actions are performed "right the first time," within legal and HCME standards, helping us deliver excellence in everything we do, from machine performance to customer experience.
You will be responsible for the orderly and efficient execution of the full procure-to-pay cycle within Production & Procurement (P&P). This includes purchasing direct and indirect goods and services based on the production plan and MRP run, creating and processing purchase orders in SAP S4/HANA, managing vendor communication and delivery schedules, processing invoices, and resolving supply issues.
You will support Warehouse and/or Procurement as needed, make improvement proposals and, after approval, implement them.
Timely ordering of direct and indirect goods and services; creating and processing purchase orders in SAP S4/HANA based on MRP run and production plan.
Processing order confirmations from vendors: checking confirmed quantities, delivery dates (including estimated transport time), and confirmed prices; attaching original files to the SAP PO.
Chasing suppliers that have not sent PO confirmation within 7 days.
Daily check on overdue deliveries; tracking orders and managing delivery schedules; acting towards vendors as needed.
Push out / pull in deliveries in response to changing demand or planning.
Responsible for transportation from the vendor to HCME, depending on Incoterm.
Performing impact checks based on order confirmations; acting towards the vendor if needed.
Correcting, reporting, and recording deviations.
Follow-up on warehouse escalations.
Checking production order completeness; acting where needed.
Resolving order discrepancies (damaged goods, wrong quantities, etc.).
Solving supply issues with vendors; escalating to Category Manager if required.
Responsible for return shipments to vendors.
Independently analysing root causes and proposing structural improvements to prevent recurring supply issues. Escalating to management where needed.
Working according to designated MRP output lists, purchase order lists, delivery schedules, and other relevant documents.
Following HCME-set protocols and SAP process standards, and ensuring the team works accordingly.
Formal communication with suppliers about upcoming events, holidays, and planning changes.
Maintaining accurate purchase order, invoice, and item master data records in SAP S4/HANA.
Ensuring that all procure-to-pay actions are carried out 'first time right', within legal and HCME-set standards.
Correcting deviations and/or reporting to management.
Investigating and making proposals to increase the reliability and efficiency of the purchasing process.
Very good knowledge of SAP S4/HANA (purchasing module, invoice verification, item master data).
Solid understanding of MRP runs, production planning, and Incoterms.
Excellent communication skills in Dutch and English.
Pro-active and solution-oriented mindset.
Ability to independently solve supply issues and train/coach colleagues.
Compensation built of a yearly gross salary between 45'000 euros and 55'000 euros (including holiday allowance and based on experience) + a guaranteed bonus (4%)
