Your Mission

The Travel & Mobility Management Coordinator is responsible for the operational coordination and administration of business travel, accommodation and corporate mobility, including alignment with travel risk management and duty‑of‑care requirements.
The role ensures that travel and mobility arrangements are organized efficiently, in line with internal policies, safety frameworks and cost awareness. The position acts as a central coordination point for employees, management, travel agents and internal travel risk stakeholders.

What You’ll Be Doing

1. Travel, Accommodation & Mobility Coordination

  • Coordinate domestic and international business travel arrangements

  • Arrange and support hotel bookings, including domestic overnight stays

  • Coordinate corporate mobility services, such as:

    • Taxi and ride services

    • General‑use / pool cars

    • Other approved mobility solutions

  • Support employees via approved booking channels and external travel agents

  • Handle complex, multi‑destination or time‑critical requests

2. Travel & Mobility Policy Compliance

  • Act as first point of contact for questions regarding Travel and Mobility Policies

  • Support compliance with booking, approval and registration requirements

  • Promote correct and consistent use of travel and mobility processes

  • Signal deviations or structural issues to the relevant stakeholders

3. Administration & Expense Support

  • Support administrative processes related to:

    • Travel

    • Hotel accommodation

    • Taxi and other mobility usage

  • Assist employees with travel‑ and mobility‑related expense reporting

  • Identify recurring issues and contribute to process improvements

4. Travel Risk Management & Duty of Care Support

  • Support registration and visibility of travel and accommodation for travel risk and duty‑of‑care purposes

  • Act as coordination point between employees, internal travel risk functions and external service providers

  • Support communication and follow‑up on travel risk advisories and safety guidance

  • Monitor completeness of required travel and accommodation information

  • Escalate potential travel‑ or mobility‑related risks to appropriate internal stakeholders

5. Vendor & Stakeholder Coordination

  • Liaise with external travel agents and mobility service providers

  • Coordinate issue resolution and operational escalations

  • Support internal reporting on:

    • Travel and accommodation usage

    • Mobility utilisation

    • Travel‑related risk and compliance topics

 

What You Bring

  • Experience in travel, accommodation or mobility coordination

  • Familiarity with corporate travel and mobility processes

  • Basic understanding of travel risk management and duty of care concepts

  • Strong organisational and service‑oriented skills

  • Clear verbal and written communication skills (English required)

  • Structured, accurate and customer‑focused

  • Comfortable handling time‑critical and high‑volume requests

  • Pragmatic, reliable and solution‑oriented

  • Professional and discreet

  • Operational, hands‑on and detail‑driven

  • Calm and responsive under pressure

  • Process‑minded, with attention to compliance and safety alignment

 

What We Offer

  • Compensation built of a yearly gross salary between 46’000 euros and 61’000 euros (including holiday allowance and based on experience) + a guaranteed bonus (4%)
