As a Rental Support Coordinator, you are a key link between dealers, internal departments, and the Rental Sales team. You ensure smooth day-to-day operations, accurate administration, and proactive communication to support HCME’s Rental business across Europe. With a balance of commercial insight, organizational skill, and customer focus, you help optimize profitability, fleet utilization, and customer satisfaction within the Rental business.
Responsible for the entire start-of-contract, during-contract and end-of-contract process (drawing up rental contracts, ensuring activation and termination)
Track pipeline activity, pending deals, and prepare forecast reports in coordination with Rental Sales team.
Manage and monitor R2R workshop activities to ensure timely modifications and readiness of all rental machines.
Act as liaison between Rental Sales and internal departments (Finance, Logistics, IT) to ensure smooth communication and quick issue resolution.
Lead monthly financial closing cycles for Rental business operations in close cooperation with Finance.
Create and maintain systems containing all HCME Rental machines, including administrative, operational, and financial data.
Maintain accurate fleet availability and utilization data to support sales opportunities.
Provide monthly reports on fleet performance, rental utilization, and profitability to management.
Ensure proper documentation and lifecycle tracking for machines from order to contract closure.
Act as the first point of contact for dealers regarding rental operations, contracts, deliveries, pricing, and invoicing.
Maintain direct contact with dealers throughout the contract lifecycle (start-up, during, and end-of-contract).
Gather dealer feedback and requirements, proactively identifying opportunities to improve service and support.
Ensure 100% accurate administration and timely responses to dealer inquiries.
Support dealers in preparing and finalizing rental contracts, including financial calculations and related documentation.
Collaborate closely with the Rental Sales team to ensure timely and accurate processing of sales orders.
Generate monthly KPI reports on rental performance and provide insights to management.
Contribute to the promotion of HCME’s Rental activities through consistent, professional communication with dealers and internal teams.
MBO or higher level of education, preferable in commerce or administration.
Preferably 3+ years of experience in Rental or Leasing services
Good knowledge of the English and preferably the Dutch language (spoken and written).
Commercial (remote; phone, email) communication skills for connecting with to dealer network

Ability to manage multiple priorities and work in a fast-paced, dynamic environment.
Proficiency in Microsoft Office Suite (Especially Excel and Power BI)
Knowledge of SAP / S4Hana
Compensation built of a yearly gross salary between 46’000 euros and 64’000 euros (including holiday allowance and based on experience) + a guaranteed bonus (4%)
