Your Mission
As a Legal and Facility Administrator, you will ensure that the legal department and other departments of the Corporate Services Division operate at their best by efficiently providing (administrative) support, such as storing and documenting contracts, notes, data, and facility-related matters, as well as by fostering clear communication with internal and external stakeholders.
What You’ll Be Doing
General
Create purchase orders for goods and services and process related invoices.
Maintain SharePoint as a central library for all legal & facility documentation accessible to HCME staff.
Corporate governance management
Prepare and process all documents required to keep HCME’s public registers up to date.
Register and file HCME’s annual reports, resolutions, policies, and related documentation.
Keep overviews and copies of registrations and annual reports of HCME’s subsidiaries.
Maintain registrations of HCME’s officials (e.g. Chamber of Commerce registration, e-Herkenning applications).
Support the organization of corporate meetings and, when required, draft meeting minutes.
Corporate performance reporting
Support the compilation of corporate performance reports (e.g. flash reports to HCM).
Assist in preparing entity-level questionnaires and internal control documentation.
Contract management
Register and file contracts.
Maintain contract records in the contract management database.
Ensure functionality and correct access rights of the contract management database.
Train users of the contract management database.
Support in the creation of business reporting such as the Closing-36 Control Report.
Insurance management
Handle communication between HCME, insurers, and third parties regarding insurance claims.
To provide necessary information to insurers to enable them to maintain the insurance policies
Compliance management
Support compliance-related activities such as export control checks, performance reporting, and GDPR reporting.
Facility Management
Support in facility-related administrative processes to ensure smooth daily operations.
Maintain accurate records and documentation related to facility services (e.g. service contracts, suppliers, policies).
Assist the Manager Facility Management with the administration of the company car fleet, including allocation, registration, insurance documentation, and related reporting.
Act as point of contact for suppliers and service providers within facility management.
What You Bring
Fluent in both Dutch and English mandatory
Experience/interest in contracts management
Good communication skills, well organized and details oriented
What We Offer
Compensation built of a yearly gross salary between 42’000 euros and 52’000 euros (including holiday allowance and based on experience) + a guaranteed bonus (4%)
